WORKSHOP MEETING MINUTES

May 21, 2023

 

 

MEMBERS PRESENT: Mr. Sylvester, Mrs. Minervino, Mrs. Falotico, Mrs. Tsadilas, Mrs. Richardson, and Mrs. Tosti

LIASION: There was no liaison in attendance

MEMBERS ABSENT: Mr. Carovillano and Mr. Reilly

Mrs. Tosti called the meeting to order at 6:41 p.m. with the statement that this meeting follows the Open

Public Meetings Act. Regular meetings are held on the first Monday of the month at 7:00 p.m., at the Stillwater Township Municipal Building located in Middleville, New Jersey. This meeting was held at the Stillwater Township Municipal Building. The flag was saluted and roll call taken.

Veteran’s Field

Vendor/Bounce Houses/Stage/Tents/Activity/Event Placement –

Several maps were created and discussed regarding the placement of the items listed above. Members expressed the pros and cons of each placement option in regard to ease of accessibility for delivery (pavement access to avoid damage by driving over the grass areas), effectiveness of generators (no more than 50 ft with cords – the longer the cord the less effective power will be), and the overall needs of each vendor and activity. The dimensions of the bounce houses were verified before the Commission walked the field. A lengthy discussion took place before ultimately setting definite locations. Although the plan is subject to change due to Tri-State potentially changing the location of the bounce houses (they may decide they are best fit in a different location for generator/noise/safety purposes), the members were satisfied with the final map. Mr. Sylvester will coordinate this information to Tri-State to secure a delivery/pick up time. Mrs. Tsadilas expressed her concern for vandalism of items left at Veteran’s Field over the weekend awaiting pick up, however, Mr. Sylvester reassured her that Ed Caffrey is not concerned. Mrs. Tsadilas will be at Veteran’s field the day of delivery to help direct Tri-State Rentals on Friday, June 31st. Mrs. Tosti will be at the field as well to direct All Access on the placement of the stage. The additional tent will need all hands-on deck to put together on Friday as well.

Additional Generator –

Discussion resumed regarding the need for a third generator. Our CFO preferred the additional generator be rented from Tri-State Rentals versus borrowed from the DPW or Fire Department to avoid the cost of replacement if damage occurred. Mrs. Tosti will contact Tri-State rentals immediately and add a third generator to our order if there is one available.

Talent Show –

Due to the lack of application submissions, there will be no judges. The two applicants are encouraged to perform as well as anyone who is interested in performing the day of. Ribbons can be handed out for recognition.

Miss Stillwater –

Bios from judges have been received. There are four Miss Stillwater applicants, fourteen Little Miss applicants, and five Little Mister applicants. Crowns, sashes, and judges’ gifts have been received (just waiting on one remaining sash to arrive). Mrs. Minervino will send an email to all applicants regarding arrival time as well as other important information that needs to be relayed.

Volunteers –

Volunteers are still in need, especially for management of the bounce houses to ensure safety. A list was made of volunteers Mrs. Tosti can contact.

Duck Race –

The duck race can still happen; however, we do not have a license meaning no presale of tickets or set price per duck. A donation can be suggested. Our license is currently in progress, so it can likely be used for next year’s event.

Payment of Bills:

Mrs. Tsadilas made a motion to approve the payment of the following bill in the amount of $41.47, seconded by Mrs. Richardson.

Amazon (Miss Stillwater Supplies) – $81.47

There is a reimbursement bill for Water Safety Fair supplies in the amount of $122.00 that required discussion before approval. $86.88 came from the Community Events linen and the remaining $35.82 came from a donation to the Water Safety Fair.

Mrs. Tosti made a motion to approve the payment of the following bill in the amount of $122.00, seconded by Mrs. Richardson.

Reimbursement – Maureen Tsadilas (Water Safety Fair Supplies) – $122.00

Field Maintenance:

The DPW laid down the felt grass blocker for batting cages as well as stone dust around the benches at Stillwater Park’s baseball field.

Garage Sale Day:

The Fall Garage Sale Day deadline will need to be strict with no deadline exceptions. This will allow one week between completion of list/map and availability to the public for printing purposes.

Bus Trip:

The Yankee game bus trip is set for 8/10/2024. The bus will depart at 10:00 a.m. The cost per person will be $40.00.

Price breakdown –

$1,500.00 bus

$350.00 parking

$150.00 tip

$2000.00 total/50 people = $40.00 per person

Adjournment:

Mrs.Tosti made a motion to adjourn the meeting at 9:01pm., seconded by Mrs. Richardson and all were in favor.
